Substitutes, Attendance and Commitment: Why Showing Up Matters

One of the first things visitors notice about BNI is the expectation that members show up every week. Not most weeks. Every week. And if you cannot be there, you send someone in your place.

To people used to casual networking groups, that can sound like a lot. But consistent attendance is one of the main reasons BNI chapters produce real referrals. Here is why showing up matters so much, and how substitutes keep things running when life gets in the way.

Why attendance is the foundation

Referrals run on trust

People only refer someone they trust. Trust takes time, and it grows through consistency. When your fellow members see you every Thursday, hear your weekly presentation and watch how you follow through, they become comfortable putting their own reputation on the line for you.

When someone shows up sporadically, the opposite happens. Members are not sure what you are focused on, and they hesitate to send their clients to someone they rarely see.

You cannot be referred if you are not remembered

Every week, members hear what kind of customer you are looking for. That repetition is what keeps you top of mind. Miss a few weeks and the room starts to forget the details of your business. Stay consistent and your fellow members will think of you the moment they hear the right conversation.

The chapter depends on everyone

A BNI chapter is a team. Each member holds the only seat for their profession, so when a member is missing, that profession is missing from the room. Visitors who need a referral in that category have no one to meet, and the members who were ready to pass a referral may hold onto it.

Showing up is a commitment to your fellow members, not just to your own business.

What substitutes are for

Life happens. Vacations, sick days, client emergencies and family obligations are all part of running a business. BNI accounts for that with substitutes.

A substitute is someone who attends the meeting in your place. They can be:

  • A coworker or employee
  • A business partner
  • A family member
  • A friend or colleague who can speak for your business

They deliver your weekly presentation, pass along any referrals you have and collect any referrals that come in for you.

How to be a great substitute (and send one)

If you are sending a substitute:

  • Ask early. Line someone up as soon as you know you will be out.
  • Prepare them. Give them a short script for your weekly presentation and your current ask.
  • Brief them on the agenda. Let them know what to expect so they are comfortable.
  • Follow up afterward. Thank them and follow through on anything that came in.

If you are substituting for someone:

  • Arrive early and introduce yourself to the visitor host
  • Keep the presentation focused and on time
  • Take good notes so nothing gets lost

Substituting is also a great way for someone to experience BNI firsthand.

Commitment pays off over time

BNI is not a quick fix. It is a long-term relationship-building system. The members who get the most out of it tend to be the ones who:

  • Attend consistently
  • Show up prepared with a specific ask
  • Hold regular one-to-ones
  • Give referrals as often as they ask for them

That is Givers Gain® in practice. You invest time and attention in your fellow members, and over time it comes back in the form of trust, relationships and referrals.

A good time to recommit

As the year winds down and the holidays approach, schedules get busier. It is a natural time to look at your calendar, protect your Thursday mornings and plan ahead for substitutes during holiday travel. Strong attendance through the end of the year sets you up for a strong start to the next one.
